Senior Administrative Assistant opportunity in our Main (OR) Operating Room Ideal candidate will have experience with the following: Kronos, Concur, Meeting scheduling, Event Planning, PeopleSoft and Excel. Should also have experience interacting with Executives. SUMMARY Provide administrative support to assigned executives or managers within Perioperative Services. Impacts department efficiency and productivity by performing complex administrative and secretarial duties.
JOB SPECIFIC Administrative Perform administrative functions for assigned executive/manager, including assisting with special events and projects, preparing presentations, and composing internal and external communications.
Demonstrate organizational stewardship by reviewing applicable policies and procedures to ensure compliance with funding sources and limitations/restrictions.
Maintain departmental leave calendars, Outlook mail groups, employee lists and conference room calendar.
Demonstrate and support an environment of service excellence; continually improving internal/external customer satisfaction through identification of needs and point of contact problem resolution.
Apply confidentiality and security standards according to institutional policy and procedures.
Complete annual self-appraisal and provide appropriate documentation.
Work with internal and external parties to organize the various components needed to initiate, execute, and conclude projects.
Organize correspondence in priority order; exercising discretion in preparing documentation for immediate action and forward pertinent correspondence directly to associates for their attention and follow up.
Obtain pagers, Blackberries, and other equipment for assigned managers and staff as needed.
Other duties as assigned
Financial Serve as departmental purchaser and maintain par levels for office supplies and minor purchases using the Resource One system and arrange shipment of requested items, goods and/or merchandise.
Maintain par levels and purchase catering supplies for all departments in the Main facility.
Arrange travel for assigned executive/manager, staff, consultants and special guests and prepare expense reports.
Personnel Management Maintain employee personnel files and compliance records (i.e., education attendance, mandatory requirements, etc.) according to institutional and Joint Commission standards.
Assist with personnel management by acting as back-up Kronos timekeeper.
Coordinate human resources activities for the department.
Interpret Institutional policies and procedures for staff.
Education High school diploma or equivalent.
Experience Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience.
